The best review request sounds like the person who served the customer. It reminds them of the visit, asks one clear question and leaves them free to answer in their own words.

Use these templates as starting points. Replace every placeholder, remove anything that did not happen and use a channel the customer expects you to contact them through. A personal message with one useful link is enough.

1. WhatsApp after a visit

Keep the message short enough to understand at a glance. Identify your business even if you have messaged before; the customer may not have saved your number. Mention the appointment only when you know it happened.

Avoid attaching a menu, an offer and a review request to the same message. Give this conversation one purpose.

Example to adapt

Hi [first name], it's [your name] from [business]. Thanks for coming in today. Would you share how your visit went? Here's the link: [link]. We'd love your honest feedback.

2. SMS when brevity matters

A text message has less room for context, so make the sender and the request clear. Check that your review URL has not been cut off and that the message still reads naturally on a phone.

Thanks for choosing [business], [first name]. How was your visit? Share your feedback here: [link]. — [your name]

3. Email after a completed service

Use a subject that describes the request. ‘How did we do?’ is easier to understand than a vague ‘A quick favour’. Keep the review link close to the question so it is easy to find.

Do not ask someone to assess a result they cannot yet judge. For a longer project, send this after the customer has accepted the work or used the service.

Subject: How was your experience with [business]? Hi [first name], Thanks for trusting us with [service]. We'd appreciate hearing what worked well and what we could improve. You can leave your feedback here: [link]. Thank you, [your name]

4. At the counter, with a QR code

A printed QR works better when a person explains what it is for. Keep the invitation optional and let the customer scan it when they are ready. Do not stand over them while they choose a rating.

5. A single, low-pressure reminder

Send a reminder only where continued contact is appropriate. Stop when someone declines. If you do not know whether they already published on Google, acknowledge that instead of implying they have not helped.

Hi [first name], here's the feedback link again in case it's useful: [link]. If you've already shared your experience, thank you—there's nothing else you need to do.

6. An invitation to give video feedback

Video asks for more effort than a star rating. Say what you would like to hear and explain who may see the recording. Offer text as an option so camera-shy customers can still contribute.

Example to adapt

Hi [first name], would you be comfortable sharing a short video about your experience with [business]? What did you need help with, and how did it go? You can record or upload it here: [link], or leave a written comment instead. The form explains permission to use your video.

Before sending: make the message yours

Read the message aloud. If you would never say it to a customer, rewrite it. Replace ‘valued patron’ with their name and avoid urgency that does not exist.
